Generating Envelopes and Labels in Microsoft Word

There are quick and easy ways to work with Envelopes and Labels in Microsoft Word.  You can create and print envelopes, single labels, and pages of labels starting with the Create group on the Mailings ribbon tab. In the Envelopes and Labels dialog box (launched by either the Envelopes or Labels button). Once in the dialog box, you enter the desired text and choose relevant options that enable you to generate customized envelopes and labels.

Creating Envelopes

By using the Envelopes and Labels dialog box’s Envelopes tab you can quickly create an envelope with the desired delivery and return addresses. Once you type the addresses into the appropriate areas, you can define the size of the envelope by choosing Options.

To create an envelope:

  1. In the Create group on the Mailings ribbon tab, click the Envelopes button.
  2. In the Envelopes and Labels dialog box, you should see that the Envelopes tab is active.
  3. On the Envelopes tab, in the Delivery address and Return address text boxes, type the desired information.
  4. Choose Options.
  5. On the Envelope Options dialog box’s Envelope Options tab, from the Envelope size drop-down list, select the desired envelope size.
  6. Choose OK.
  7. In the Envelopes and Labels dialog box, choose Print.
  8. If the return address question box appears, choose the desired option in the question box.

In the following exercise, you will create an envelope.

1.Create a new blank document 
2.In the Create group on the Mailings ribbon tab, click the Envelopes button.The Envelopes and Labels dialog box appears.
3.In the Envelopes and Labels dialog box, if necessary, select the Envelopes tabThe Envelopes page is active.
4.On the Envelopes tab, in the Delivery address text box, type: Mrs Elizabeth Smith

Glasgow G1 1DA
 
5.In the Return address text box, type your name and business address 
6.Choose OptionsThe Envelope Options dialog box appears.
7.Follow your instructor’s directions to select a size from the Envelope size drop-down list on the Envelope Options tab 
8.Choose OKThe Envelope Options dialog box closes.
9.In the Envelopes and Labels dialog box, choose Print 
10.If the return address question box appears, choose Yes in the question boxThe question box closes, the dialog box closes, and the envelope prints.
11.Close the document without saving it 

Creating Labels

Using the Envelopes and Labels dialog box’s Labels tab, you can create a single label or a full page of labels with the same information. b.

To create a label:

  1. In the Create group on the Mailings ribbon tab, click the Labels button.
  2. In the Envelopes and Labels dialog box, select the Labels tab.
  3. On the Labels tab, in the Address text box, type the desired information.
  4. In the Print area, select the desired option button.
  5. Choose Options.
  6. In the Label Options dialog box, in the Printer information area, select the appropriate printer type and tray.
  7. From the Label products drop-down menu, select the appropriate label product.
  8. From the Product number list box, select the appropriate label type.
  9. Choose OK.
  10. In the Envelopes and Labels dialog box, choose Print.

In the following exercise, you will create a label.

5.In the Print area, select the Single label option button

7.Follow your instructor’s directions to select the appropriate printer type and tray in the Printer information area 
8.Follow your instructor’s directions to select the appropriate label product from the Label products drop-down menu 
9.Follow your instructor’s directions to select the appropriate label type from the Product number list box 
10.Choose OKThe Label Options dialog box closes.
11.In the Envelopes and Labels dialog box, choose PrintThe dialog box closes, and the label prints.
12.Close the document without saving it
